General Public - G Job Duties VDOT Richmond District is pleased to announce an exciting opportunity for a self-motivated individual to provide administrative and clerical support for the Petersburg Residency to coordinate programs/meetings, manage data/files, and communicate with a diverse group of customers effectively.
This position will process permits, receive and release permit fees and/or bonds working closely with Land Use staff.
You will track and update listing of state-maintained routes, prepare paving schedule manuals and handle fuel reports.
Position is responsible to create, track and manipulate complex budget data/spreadsheets and expenditure reports; serve as the Employee Recognition and Adopt-A-Highway Coordinator for the residency; and to enter, monitor, and update residency-wide work zones into VaTraffic System.
You will research, discuss tort claims with customers and investigate/document findings in report form; respond to telephone and written requests; and receive/screen calls, mail and visitors and forward to appropriate staff member.
Position will maintain and update automated/manual filing systems; independently create complex high-level correspondence and communicate with office staff, VDOT personnel, public officials and general public; manage multiple priorities/assignments; and assist during emergency operations.
In addition, the position will assist with accounts payable as needed.
VDOT is an emergency response agency, and this position is required to work outside of normal work hours during emergency operations.
This position will manage the residency work order system, creating, updating and closing out service requests.
This position will assist the Residency Administrator, Assistant Residency Administrator, Maintenance Operations Manager, Land Use Engineer, Residency Business Administrator, and the Contract Monitor with reports, spreadsheets, data collection and output, letters, and other duties as needed.

Minimum Qualifications Knowledge of office practices/procedures Knowledge of business math, English, grammar, and composition Advanced skill in operating computers and related software (MS Office and automated financial management systems) to include development of complex spreadsheets/ databases and presentations Demonstrated ability to communicate effectively both orally and in writing with diverse groups, all levels of management/staff, local officials and general public Ability to analyze, research, interpret and evaluate data Ability to produce complex statistical reports Ability to plan, organize and set own priorities with minimal supervision Ability to compile, track and analyze budgets/expenditures Ability to exercise good judgment and make good business decisions Time/records management and organization/prioritization skills are essential Graduation from high school/GED with experience in office practices/procedures and/or training and education in a related field Valid driver's license required Preferred
Qualifications:
Advanced level experience in developing, manipulating and maintaining Excel spreadsheets Experience in compiling and tracking complex budget data Highly skilled in operating automated financial management system and office equipment Experience in preparing/updating complex statistical reports Special Instructions:
